MEMBERSHIP CHAIRS WHO USE CLUBEXPRESS:

HELPFUL SUGGESTION: RUN TWO REPORTS ON JANUARY 31, 2022 TO RECONCILE LATER WITH PMP INVOICE


If you would like to keep a snapshot of your membership data in ClubExpress as it looks on Monday, January 31, 2022 to compare to your PMP invoice later, check out these directions. This is completely optional, but might come in handy if you need to ask for adjustments from LWVUS.


Prepare your local League membership data in ClubExpress for the Data Connector automated upload to the LWVUS national member database by January 31, 2022:

These instructions explain how to map your local League member types in ClubExpress by January 31 to the five member types that the LWVUS national member database uses. Map by selecting one of the five member types that your local League ClubExpress offers for selection. The mapping would look like this:


[Your local League name for an individual membership] -----select this LWVUS member type to map to----->INDIVIDUAL

[Your local League name for an household membership] -----select this LWVUS member type to map to----->HOUSEHOLD

[Your local League name for an lifetime membership] -----select this LWVUS member type to map to----->LIFE

[Your local League name for an student membership] -----select this LWVUS member type to map to----->STUDENT

[Your local League name for any administrative account. Choose this if it should not be counted toward PMP invoicing]

-----select this LWVUS member type to map to----->STAFF


Then run your reports by January 31, 2022 if you wish to have a record:

If you have a small number of members, you may be find a Member Status report will meet your needs rather than the combo of the two reports recommended above.

LWVUS Connector project information meeting on Wednesday, January 19 at 2:00 PM MT online.


This meeting is important to each local League's membership coordinator. It will explain the LWVUS Connector code project to automate uploading local Leagues' member roster data from ClubExpress to the LWVUS national member database, so that we will no longer have to manually enter the data into the national member database. How PMPs will be invoiced after the local League member data has been captured will also be explained. And there should be accurate information about when this will happen.


Dan at ClubExpress may have shared the Zoom link with us, but it would be nice to register for the LWVUS ClubExpress Roundtable's (LWVCE's) information meeting. This meeting will replace the regularly scheduled LWVCE Membership Workgroup meeting that had been planned at this time) by going to the LWVUS ClubExpress Roundtable meeting registration page:

If you don't have a LWVCE website login yet, it's easy to set up yourself with a new username and password. Go to:

and click on "Join Us" on the webpage or "Become a Member" in the menu.


Leave the default member type as "LWV/CE Roundtable Participant" and go through the setup screens, clicking "Next" after you've filled in the simple info needed in each screen.


Then you'll have a LWVCE login and be able to see the shared information, register for meetings, access the "Best Practices" documents that other LWV members have created, and get help to get the most out of using ClubExpress to make LWV tasks easier.


Note that there is a new "Connector" menu choice at the top of the LWVCE website front page. This menu item goes to a new Connector webpage with information about the LWVUS Connector project and PMPs.

Please ask at least one member of your operations team to attend this meeting if possible.

We're starting this forum thread to ask questions and share information among Colorado Leagues about membership records and per member payment (PMP) assessments for January 31, 2022.


Some of our local Leagues are now using ClubExpress and in 2022 LWVUS will start automatically uploading local Leagues' member data from our ClubExpress member records to the LWVUS national member database so that we'll no longer have to enter the data manually. Our PMPs will then be assessed automatically based on that member data upload.


This automated upload to the LWVUS national member database is called "The Connector", is being carefully tested, will be reliable, and will save our membership chairs who use ClubExpress some of the work they've had to perform manually.
